JK Executive Strategies is proud to partner with a prominent real estate management and acquisition firm in search of an Operations Associate to join its team! With nearly 20 years of experience in the Rochester real estate market, our client provides innovative solutions and superior integrated real estate services.
The Operations Associate will play a critical role among the team in supporting its operations, streamlining processes, and ensuring seamless execution of projects.This position will serve as the primary point of contact for the Owner, external stakeholders, and internal teams.

Responsibilities
Project Planning & Coordination:
- Assist in planning and managing project timelines, deliverables, and milestones.
- Manage relationship, and serve as liaison, between various stakeholders.
- Coordinate with internal teams and external stakeholders to ensure project goals are met.
- Track progress and provide updates to the leadership team.
- Manage vendor relationships to ensure properties are maintained and kept according to standards, and report issues to ensure proper action is taken.
- Create, maintain, and implement a 365-prevantative maintenance and inspection calendar.
Process Optimization:
- Identify inefficiencies and implement process improvements to enhance productivity.
- Develop and maintain standard operating procedures (SOPs).
- Ensure smooth communication flow between departments and stakeholders.
Administrative Support:
- Manage calendars, schedule meetings, and organize team activities.
- Maintain accurate records and documentation for projects and operations.
- Draft correspondence, reports, and presentations as needed.
- Order supplies and materials, as necessary.
Budget Management:
- Assist in preparing and monitoring budgets for various projects.
- Reconcile receipts, track expenses, and ensure financial alignment with project goals.
- Provide periodic budgetary reports to the management team.
- Assist and create RFPs to send to various vendors.
Communication & Collaboration:
- Function as a central point of contact for internal teams and external partners.
- Develop clear and concise communication materials.
- Facilitate team collaboration by connecting relevant resources and individuals.
- Other duties as assigned.
Requirements
- Bachelor’s degree in Business Administration, Operations Management, or related field (or equivalent work experience), preferred.
- Proven experience in operations, administrative support, or project management.
- Strong organizational and time management skills.
- Exceptional attention to detail and ability to manage multiple priorities simultaneously.
- Excellent communication skills (both written and verbal).
- Flexibility and adaptability, as well as ability to operate effectively in a fast-paced, evolving environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Familiarity with budget tracking and financial reporting.
- A proactive problem-solver with the ability to “connect the dots” across projects and processes.
Salary Range
$55k
